When is it time to hire a bookkeeper?

The honest test is not revenue. It is whether your own numbers are late, unclear or costing you decisions.

Signs it is time - You cannot answer "how did last month go?" without opening the bank app. - Categorizing transactions has become a weekend task you postpone. - Tax season turns into an archaeology project of receipts and screenshots. - You have employees or contractors, which means payroll filings, W-9s and 1099s with fixed dates. - You are applying for a loan, a lease or an investor conversation that requires clean statements. - Business and personal spending share the same account or card. - You are making pricing and hiring decisions on instinct because the reports are behind.

What a bookkeeper actually gives you Not just tidy records. A monthly close means reconciled accounts, transactions categorized consistently, and reports you can compare month to month. That consistency is what makes numbers usable for decisions, lenders and your tax preparer.

The cost comparison owners forget Compare the fee to your own hours at what you charge clients, plus the cost of decisions made late and the risk of penalties for missed filings. An owner who bills $120 an hour and spends ten hours a month on bookkeeping is spending far more than the fee, before counting mistakes.

Choosing how to get the work done - Software alone is a tool, not a bookkeeper. Bank feeds still need review and rules still need judgment. - Part-time help is fine if someone reviews the work and closes the month. - A firm makes sense when the bookkeeping, the filings and the tax work should be looked at together.

Ask any candidate three questions: what does "closed month" mean to you, what reports do I get and when, and who answers when the IRS or the state sends a letter.
